What information Mt Baldy collects about team members who use the This is Baldy CRM, why we collect it, and your rights.

What this notice covers

This notice explains what information Mt Baldy collects about team members when they use the This is Baldy CRM (crm.thisisbaldy.com and the LeadConnector app), why, and who it's shared with. It covers employees, managers and contractors with a CRM login. It doesn't cover guests or the public websites.

For California residents, this is our notice at collection under the California Consumer Privacy Act (CCPA) for information collected through the CRM.

What we collect

  • Account details: your name, work email, phone number, role, which locations you can access, and your profile photo if you add one.
  • Sign-in information: sign-in times, two-step verification details, and the IP address, browser, device type and app version you sign in from.
  • Activity in the CRM: records you view, create, change or delete, messages and emails you send, tasks, appointments and other actions, with the time each happened.
  • Communications: texts, emails, calls, call recordings, voicemails and team chat messages sent or received through Mt Baldy numbers and accounts in the CRM.
  • App information: if you use the LeadConnector app, the device information and notification settings needed to send you alerts.

We don't use the CRM to track your location, and we don't collect sensitive information such as your Social Security number, health information or bank details through it.

Why we use it

  • To give you access and keep your account secure.
  • To run the business: answering guests, handling bookings and events, and team communication.
  • To keep records of what was said to guests and who said it, for service quality, training and handling complaints.
  • To meet legal duties, for example honoring opt-outs, keeping required business records and responding to legal requests.
  • To investigate security problems or misuse of guest information.

Who we share it with

  • Our CRM provider (HighLevel and its LeadConnector service), which hosts the system and stores the data for us.
  • Phone, text and email carriers that deliver messages and calls sent from the CRM.
  • Google, only if you choose Sign in with Google.
  • Our IT and web contractors, who set up and support the system for us.
  • Others when the law requires it, such as in response to a court order, or to protect people's safety.

We don't sell or share your information for advertising.

How long we keep it

We keep your account information while you have access, and remove your login when you leave. Guest conversations, notes and activity records you created stay in the CRM as Mt Baldy business records, usually for as long as the guest's record exists or the law requires. Sign-in and activity logs are kept as long as the CRM provider stores them for security.

Your choices and rights

If you live in California, you have the right to:

  • Know what personal information we've collected about you and how we used it.
  • Ask us to correct information that's wrong.
  • Ask us to delete your information, unless we need to keep it as a business record or by law.
  • Not be treated differently for using these rights.

To make a request, email [email protected] with the subject "Team privacy request". We may need to confirm it's you before we act on it.

Keeping it safe

Access to the CRM requires a personal login, and admins can remove access at any time. The CRM provider stores the data on secured servers. You help keep it safe by protecting your login and following the Team Terms.
